Application for Graduation Q&As

Q. Why do I need to fill out an Application for Graduation?

A. Dakota College at Bottineau does not automatically award degrees or certificates to students because eligibility requirements vary. After a formal request for graduation is received by the college, the student's academic coursework will be audited to verify the student has completed all requirements to earn the degree sought.

Q. How do I know if I am eligible for graduation?

A. Take a look over our graduation requirements list on our Web site. Your adviser can also help you determine whether you have met all academic qualifications for the degree you are pursuing.

Q. I will finish all my scheduled classes and co-ops by the end of term. What forms do I need to complete?

A. To graduate, you must fill out a request for graduation and submit it to the Dakota College at Bottineau Student Services Office. The forms can be found online at this hyperlink. Please have your adviser sign it first, then submit it to DCB Student Services office.

Q. Is there a fee to apply for graduation?

A. Applying for graduation is free of charge as long as you submit the application by the corresponding deadline. After the deadline, you will have to pay a late charge to DCB.

Q. I am confused. There are three graduation forms on the Web site. Which one do I fill out and send in?

A. Each form caters to a specific type of student.

  • The "Graduation application" is to be filled out by DCB students who are earning an Associate of Arts, Associate of Science, Associate of Applied Science, Diploma or Certificate.
  • The "Minot Graduation application" is to be filled out by DCB students who are taking DCB degrees on Minot's campus.
  • The "Certificate of Completion" form is to be filled out by any student who is earning a Certificate of Completion. A Certificate of Completion is awarded to students whose degree is earned in a semester's time or consists of 15 credits or less.

Q. I am a DCB student on Minot's campus, do I need to mail in my application for graduation?

A. DCB students on Minot's campus will have their adviser sign the form and then hand in the application for graduation to Russ Gagnon, Minot Programs Director. Also, if you are turning in your application, make sure to submit payment. Questions, please contact Russ Gagnon at (800) 777-0750, ext. 4339 or (701) 858-4339.

Q. I am an online student. How do I get my adviser to sign my form before turning it in?

A. For online students, you just need to fill out the graduation form and mail it to Dakota College at Bottineau, addressed to the attention of your adviser's name. If you do not know who your adviser is, you may address it Attention: Graduation Coordinator, Dakota College at Bottineau, 105 Simrall Blvd., Bottineau ND 58318-1198. Please make a copy of your application for your records.

Q. I applied to graduate last semester, but I didn't complete all my classes to be awarded my degree. This semester, I finished my last class and will pass it. Do I have to fill out another application for graduation?

A. Yes. If a student files for graduation, but does not graduate, the student must resubmit another graduation application for a later graduation date.

Q. What happens if I forget to fill out an Application for Graduation?

A. You will not be awarded your degree or receive your diploma in the mail. By filling out the application for graduation, you are making a formal request for the college to review your work and award a degree to you. Degrees are not automatically awarded.

Q. I was supposed to graduate in December but I didn't fill out an application. It's now March and I haven't received a diploma in the mail. I really want my degree, what do I do now? Can I still get my diploma and transcripts to read that I graduated in December?

A. Don't worry. If you have indeed finished all your course work for your degree, all you need to do is simply fill out an Application for Graduation and file the request with the college. Unfortunately, degrees are only awarded in the semester in which you submitted your application. So, even though you technically finished all your classes in the Fall semester, since you waited until the spring semester to apply for graduation, your diploma and transcripts will state that you graduated in the spring.

Q. How does the ceremony work for online students? I need to know if I should also purchase a cap/gown.

A. If you want to walk through graduation, you are more than welcome to as an online student. We hold one graduation ceremony for all graduating students (Spring, Summer, Fall), and it will be held on the final Friday of the Spring semester. So, if that is something you would want to do, you can order a cap and gown. What you can do, is mark on your graduation application that you are interested in walking through and ask to be contacted in February for payment/and to see if you still want to do it. The price remains the same on the cap and gown until the last day to buy in March. Or, if you don't want to walk, you can just order the tassel. And yes, the tassel can be mailed. However, we do NOT mail cap and gowns and there aren't any refunds.

Q. I am a nursing student. Last year, I attended the graduation ceremony when I graduated with my Practical Nursing Degree. Do I need to purchase another cap & gown if I want to walk through the May ceremony when I earn my Associate Degree Nurse?

A. No. You will not have to purchase another cap and gown. All DCB students wear the same forest green attire no matter what degree they are earning. However, you may want to purchase a new tassel reflecting the year that you graduate with the additional degree. Tassels can be bought separately for .

Q. I am in Phi Theta Kappa, do I wear a stole from them? How does this change what I wear with my cap and gown, if I choose to walk?

A. Gowns for all graduates are the same, regardless of degree or special awards. However, as a PTK member, you will need to purchase a yellow PTK stole to wear with your cap and gown to mark your accomplishment. You can purchase your stole through the PTK Recognitions Online Store at http://recognitions.ptk.org/index.php/graduation.html.

Q. I live out-of-state, and do not wish to participate in the graduation ceremony. If I bought a souvenir tassel, can it be mailed?

A. Yes. Souvenir tassels can be mailed. They cost and need to be purchased by the graduation application deadline. Please mark on your application for graduation that you are purchasing a souvenir tassel and enclose the appropriate payment. Please do not submit cash through the mail. Checks are the most common form of payment, but you also can make a payment over the phone by calling the DCB Business Office at (800) 542-6866.

Q. I am a graduating student. I do not want to walk during graduation, but would like to get a tassel. How do I order the tassel and how do I receive it?

A. On your application for graduation is a question asking if you wish to purchase a souvenir tassel. Mark the box and enclose a check made out to Dakota College at Bottineau for the appropriate amount. It would also be good to write "Souvenir tassel" on the memo line of your check. Students will be notified of time/dates when they can pick up their tassels at DCB Student Services office. Any unclaimed tassels will be mailed to the address specified at the top of your graduation application.

Q. I graduate in December. When do you need my order for cap/gown placed by?

A. It is recommended for December graduates who are considering walking to fill out the appropriate section in the graduation application form. You can make payments right away to DCB so you will not forget to pay. Otherwise, you do have until the March order deadline to submit payment and gown order. If payment isn't received by the March deadline, a gown will NOT be ordered.

Q. I am graduating in December. I think I want to walk in May's graduation but I don't know if I can. Can I change my mind later and still be able to walk?

A. Many December graduates do not know where they will be in May. So, we understand why you are hesitant to purchase a cap and gown in November. If you think you may want to walk, fill out that section on the application like you are attending the ceremony. Then, check the box that you wish to be contacted before the March gown/cap payment date to see if you still want to make a purchase and attend the ceremony.

Q. I am no longer walking in the graduation ceremony, how can I get a refund for my cap/gown?

A. I am sorry, but DCB is unable to issue refunds on cap/gown and tassels. We place new orders every year and we are unable to return merchandise to our supplier. May we suggest finding a fellow student who wants to walk in graduation and sell your cap/gown to them.

Q. Why do you need my height/weight for my cap/gown order?

A. The supplier we purchase from requests this information to make sure you are fitted with the right size gown. Otherwise, you may end up with a gown that is too short, too long, too tight, etc.

Q. I marked that I wanted a gown ordered, but when I came to pick one up, there wasn't one available. What happened?

A. Even though you marked that you wanted a gown ordered, the problem occurred when you didn't pay your bill. Dakota College tries to call, e-mail or mail notices to students who have not paid, but submitted an order. Sometimes, these attempts by DCB are unsuccessful either because the student failed to fully submit their contact information, or didn't respond to DCB's messages. When this happens, DCB will mark that all attempts to contact the student were made, and the order will be declined. So, to prevent this from happening, please submit your payment on time and fill out the application with all your contact information.

Q. I marked that I wanted a gown ordered, but was told I have to pay more than when I placed the order! Why is this? I had my order in by the March deadline!

A. Even though you submitted your gown order by the March deadline, you also must submit payment to the DCB Business Office by the same deadline. Failure to do so, will result in a late payment fee.

Q. I am a DCB student on a sister campus. Do I have to attend the graduation ceremony at the sister campus or can I attend the ceremony in Bottineau?

A. DCB students taking courses at sister-campus locations can attend that locationÂ’s graduation ceremony. For example: A DCB student taking courses on our Minot State University campus location may attend the MSU graduation ceremony. However, if you do not wish to participate in the sister-campus graduation ceremony, you may participate in the DCB graduation ceremony held on the final Friday of the Spring semester. If you wish to do so, please write on your graduation application that you wish to attend BottineauÂ’s graduation ceremony instead, please download a copy of the DCB Bottineau Campus Application for Graduation and fill out the back part which is strictly for the DCB Bottineau campus graduation ceremony and submit the appropriate payment.

Q. I am a DCB online student and I want to walk through graduation. I live closer to your sister-campus where DCB students are walking through. Can I join them at the sister-campus ceremony?

A. No. Only DCB students who are physically attending our sister campuses are allowed to walk through those ceremony. Those ceremonies are put on by the sister-campus for their graduates and kind enough to allow our DCB on-campus students to attend as our students became an active part on that campus. We cannot allow online students nor other students at others campuses to choose their location to graduate. If you wish to walk through graduation, you will have to attend the ceremony held at Dakota College at Bottineau in Bottineau, ND.

Q. I am a Phi Theta Kappa member, do I get to wear anything special for graduation?

A. DCB students who are enrolled as a PTK member will want to purchase an Honors Stole through PTK’s Recognition website (http://recognitions.ptk.org/index.php/graduation.html) to wear in the graduation ceremony. This stole is only available for order through this website.

Diplomas and Transcripts Q & As

Q. How do I get my transcript for myself and for a college I am going to attend?

A. Transcripts are provided free of charge. In order to receive a copy of your transcript, the college must receive a formal request that includes your personal information and the mailing address where you want the transcript sent. Q. The term just ended. When can I see my grades and get my official transcript?

A. Please give DCB a couple of weeks after semester end to post your grades online. Professors have many students, and it takes time to calculate final grades for classes.

Q. My diploma and transcript are wrong! It doesn't say my program I took on it. All it says is "Associate of Arts/Associate of Science."

A. Unfortunately, the North Dakota University Systems prohibits the printing of academic interests of Associate degrees on the diplomas and transcripts DCB hands out. So, the college can only print that you have earned an "Associate of Arts" or "Associate of Science." DCB is prohibited from printing "Associate of Arts in Elementary Education" or "Associate of Science in Wildlife Management." This explanation is also found on the graduation application and in the DCB catalog.

Q. I have yet to receive my diploma. When can I expect to receive it?

A. We cannot mail your diploma until all grades have been finalized and your Grade Point Average calculated. We have a lot of students that are evaluated at the end of each term, so please be patient. Usually, it will take four weeks after the end of the semester before diplomas are started to be mailed out.

Q. It's been six weeks after graduation and I still haven't received my diploma? What is going on?

A. This problem could be a number of things. First, your diploma is mailed to the address specified at the top of your graduation application. So, please check your copy of your graduation application to see where the diploma might have been mailed.If the diploma was not mailed, it could be because of various reasons:

  • You filed a late application for graduation with the college. Diplomas for late applications are not ordered by the college until after term's end. If you have placed a late application with the college, your diploma could take eight to ten weeks to arrive.
  • You could have an outstanding bill at the college. All bills must be paid before diplomas will be mailed.
  • You have an incomplete class. Diplomas will not be mailed until the incomplete is changed to a passing letter grade.
  • You are still taking a co-op class. Diplomas cannot be mailed until the co-op is completed.
  • You failed a required class. This will make you ineligible for your degree.
  • You failed to meet all requirements for graduation.
